Mail merge turns one letter and one spreadsheet into a personal letter for everyone on the list. It is free and private: your list and your letter stay in this browser, and nothing is uploaded.
How mail merge works
Each row of your spreadsheet becomes one letter. Wherever the letter has a field in double curly brackets, such as {{First name}}, the value from that column is put in. Field names ignore capitals and spaces, so {{first name}}, {{First Name}} and {{first_name}} all match a First name column. A field shows in red when there is no column with that name.
You can add a fallback after a bar, such as {{Title|Friend}}, which is used when a cell is empty. {{Today}} puts in the date, and **double asterisks** make text bold.
How to merge a letter, step by step
- Press Try an example if you want to see how it works first, or start with your own.
- In Your list, paste from a spreadsheet or use Open a CSV. The first row must hold the column names.
- In Your letter, write the text. Click a column name to insert it where the cursor is.
- Check the Preview and step through a few rows to make sure each letter reads well.
- Choose File names, the page size and whether you want one PDF or a zip, then press Make the PDF.
One PDF or many
One PDF puts every letter on its own page, ready to print in one go. A zip with a PDF per row is better for sending each person their own file. Name the files with fields too, such as Letter - {{First name}} {{Last name}}, and duplicate names get a number added. Pages come in A4 or Letter size.
Getting your spreadsheet ready
- Save or export the sheet as CSV, TSV or plain text. Pasting straight from a spreadsheet also works.
- Keep one row of column names at the start, and one person per row after it.
- Up to 2000 rows are used in one merge. For a bigger list, split it into two.
- Check names for stray spaces and odd capitals, because the letter prints exactly what the cell holds.
Letters, certificates, labels and more
Use it for payment reminders, offer letters, parent letters, event invitations, club notices or thank-you notes. Students and teachers can use it for permission slips and reports, freelancers for client updates, and small businesses for customer letters. For award certificates with a decorative border, use the certificate maker, which takes names from a spreadsheet in the same way. If you have saved your name and address in Your Snowkit, they can head every letter.
Privacy
The merge happens inside your browser. The list, the letter and the finished PDFs are never sent to a server, so customer and student details stay on your device.
Questions
Can I merge from an Excel file?
Open the sheet in your spreadsheet program, copy the cells and paste them into Your list, or save it as a CSV file and open that.
Why is a field red?
No column has that name. Check the spelling against the first row of your list, or click the column name to insert it exactly.
Can I send each person their own file?
Yes. Choose the zip with a PDF per row and name the files with a field such as {{Last name}}.
Does it send emails?
No. It makes the PDFs, and you send or print them however you like.
